Attendance Information
A parent or guardian should immediately complete the Absence Notification e-form that is accessed within the Parent Portal (it is strongly preferred this e-form is completed on the morning of your son’s absence).
Parents should log-in and click on the Absence Notification link under “Student Information”, which is found on the home page of the portal (see below):
Parents should be aware that submitting an Absence Notification verifies their son’s absence. It is important that you do not disclose your Parent Portal login and password details to your son, to ensure the legitimacy of this functionality.
There is no requirement to phone the School nor to provide a written note to notify us of an absence.
If your son has more than three consecutive days off from school due to sickness, a medical certificate from his doctor must be provided on his return to campus.
Notification of Absences from Examinations
If your son will be absent from school during his examinations period, whether for School examinations or external examinations, we ask you to complete the Examinations Absence Notification e-form on the day of his absence. The e-form can be accessed via the Parent Portal.
Please note that the normal outcome of absence from an examination is that a zero / no result / Not Achieved is awarded. In some circumstances, this can be avoided. Further information is provided in the e-form.
If your son has missed or will miss an internal assessment deadline or in-class assessment and he has a legitimate reason for being absent, he may be eligible for an extension.
Your son can collect an application form for an extension to a deadline on an internal assessment from the Student Reception. He must do so on the day he returns to School and he must be able to provide a medical certificate as supporting evidence for the application.
If he has missed class time as the result of an approved School activity, the extension application form does not need to be completed.
Please ensure that your son attends school every day unless there is a genuine reason such as sickness or bereavement. The School does not support casual breaks during term time as such absences impact on the standard of education we can provide.
Please communicate with the Headmaster directly via email if you are requesting Official Leave for your son.
Please note that no official leave is granted, other than bereavements or regional, national and/or international representative duties for a variety of extracurricular activities sanctioned by the School.
Any representative duties refer to instances where your son is either representing New Zealand, or representing the School at Regional or National Championships.
For New Zealand representative duties, confirmation of your son’s selection should be provided at the time of an official request for leave is made, with documentation attached from the National sporting body/organisation. Club representative events, and sporting events students are independently registered for will not be approved as justified leave.
Furthermore, no extended holiday leave is provided either prior to or after the official school holidays.
Where an absence is recorded as ‘unapproved’ by the School, be aware that teachers will not provide work. Should the student have an internal assessment or an examination he will receive 0 for it and will not be given an Assessed Mark.
If your son is late to school due to a pre-arranged appointment, please provide him with a written note to be handed into our Student Office staff upon his arrival. He will then formally sign into the School.
No student is to leave the School grounds during school hours unless:
1) He has brought a letter or an appointment card to the Deputy Headmaster on the front steps after assembly. He will then be provided with the appropriate approval slip, allowing him to formally sign out at the Student Office prior to leaving the campus; or
2) For medical reasons, whereby he must have permission from the Deputy Headmaster or from the School Nurse. In such cases, the School Nurse will contact his parents before he leaves the School grounds.
